5 processes to save time in your development office

Many development offices are returning with fewer resources and even less time on their hands: use these processes to improve efficiency and make your data work for you.

Many development offices currently have even fewer resources than the usually small teams they are used to, so saving time wherever possible is imperative. Here are five simple data processes to set up to save time in your development office:

1) Consider which data to capture
Instead of collecting all the information possible, and then wondering how to use it effectively, identify your fundraising strategy and then work out what data you need to execute your strategy.

2) Streamline your data through categories and tags
When entering new records, ensure you use tags and defined fields so you can easily sort your data. Using pick lists for fields that are often poorly captured such as industry professions will make it much easier to run filters in the future.

3) Ensure consistency across your database
Use the same terminology and naming conventions across your database to avoid mistakes and work effectively as a team.

4) Check that you store one record for each person, not a couple or family!
Storing all information for one person on one record ensures you can link consent preferences, payments and submit gift aid declarations to a specific person, making it easier to comply with GDPR, avoid duplicates and run filters.

5) Use a pipeline to track your projects
Setting up a pipeline will enable you to visually track progress on fundraising goals, and establish how many new or regular donors you are delivering. This can be useful to strategically advance your relationships with prospects, and close more donations.
